Traditionally, decisions are made at the "top" of an organization and communicated to those "lower down" while feedback on the effectiveness of the resulting actions is sent back to the "top". We can see this pattern in all aspects of life, from our relationship with our parents, through our education, and on into our working life. However, in business such a hierarchical structure is not always an advantage. What options are there for a modern business?

Management science tells us that there are three distinct stages in the development of decision-making processes within organizations. Each of these stages has been fueled by advancements in communication and coordination technologies, starting with the telegraph (invented in 1832) or even with fire beacons and smoke signals in more ancient times.

The first stage of decision-making sees decision-makers, who are only aware of, and responsible to, their immediate environment make decisions independently of other decision makers in the organization. As the cost and efficiency of communication falls, information is gathered centrally and decision-makers become aware of, and responsible for, a wider environment. These more informed decision makers attempt to make decisions in order to maximize the benefits to their organization as a whole. Finally, as communication efficiency continues to improve local decision-makers consult with other related decision-makers to maximize benefit to both their own organization and to their wider business environment.

These three decision-making stages of development are characterized as follows:

Independent Decentralized Control:

In this model, individual units have independent decision-making powers. They act in order to serve their local needs. However, since there is little or no coordination between decision makers, it is possible that decisions made by units locally will conflict with other units' decisions or even the global objective of the organization as a whole.

Centralized Control:

Here a central body makes all decisions. Changes affecting the whole organization can easily be made since the impact of the changes across the organization can be predicted. However, this approach is rigid and forces each organizational unit to conform to a prescribed set of rules governing how they act upon instructions from the central body and how they report on the results of their actions. Furthermore, as the number of distributed units increase, the information flow to the central point of control increases, thus this method lacks scalability.

Connected Decentralized Control:

Decentralized control encourages independent decision-makers to take responsibility for their local environment, however facilities are provided to allow them to consult with other related decision-makers. Because of this connectivity local decisions can be made with a view on their global effects. However, in this model all decision-makers are exposed to all potential information sources, thus powerful information management systems are required.

Since decentralized control brings many managerial benefits, companies usually strive to move from independent decentralized control, through centralized control and on into connected decentralized control. However, as organizations progress towards connected decentralized control they must find a balance between top-down control and bottom-up empowerment.

Too much top-down control will result in a lack of scalability as described in centralized control model, too much bottom-up empowerment will result in a chaotic decision making process with unpredictable results.

To achieve the "perfect" balance between centralized and decentralized control it is necessary to identify conflict points between individual units. These units must then co-ordinate their decision-making processes and knowledge bases. Such coordination requires the sharing of vast amounts of information, which brings with it the potential for "information overload", a situation in which it becomes impossible to identify the relevant data from the irrelevant data.

Further to the problems of information overload are the difficulties of communicating information between decision-makers of differing backgrounds. For example, how does an accountant communicate the impact of a marketing overspend, whilst the marketing people communicate the impact on sales if the budget is not approved, which in turn affects the underlying sales potential for the firm.

In an independent decentralize model there is no control over such decisions. In a centralized model we rely on one individual to understand all three points of view, whilst in a connected decentralized model we rely on a technique to communicate all information in a meaningful and manageable way. This need for efficient communications presents considerable technological challenges since individuals from different backgrounds have different domains of understanding, different decision making processes and different data collection, storage and processing techniques.

Today, ICT is moving towards being complete enough to support a full advancement to Connected Decentralized Control. However, this is not yet possible with an "off-the-shelf" solution. Information Management Systems and Decision Support Systems in particular, need considerable customization and adoption to your organizations needs.

While efficient Information Management Systems can bring massive benefits to your organization you should be aware that around 75% of large Information Systems are considered failures by those who commission them. Tread carefully when commissioning such systems and take your time, be one of the 25% who reap the benefits and continue to grow.

Positioning is the best plan that any business can implement.

Positioning is putting yourself in the right place in the eyes of your market. You get your market to know you as an expert that can be trusted. You get looked on as a reliable resource for information.

Positioning is easy to do. Just give free information of interest to your market. Your market is the people who would be likely to buy the services or products you offer.

Let's say your market is people who like to fish. What they buy are reels, poles, lure...things they need to fish with. You could tell them the Best Ways To Fish For Salmon, Bass, Trout...The Fine Art Of Fly-Tying...How To Cast For The Best Catch...How To Find The Best Fishing Spots...Cleaning And Cooking Fish In A Snap.

If you sell reels, poles, lure, etc. - then such reports will attract readership from your target market - the people most likely to buy from you.

Chances are if those readers found something useful in your report, then they would be interested in reading more. Give it to them - have them sign up on your list.

That is how positioning works, and the reward is great. Having a list built up of targeted, loyal, and responsive prospects is the very best thing a business can have.

Not only can you tell them how to catch more fish with the least possible effort, but also how your products can help them to do it even more so. Since you are an expert, it's only natural that you would have the greatest tools and tackle.

There is a special thing about having a list, so treat it special. Consider it for what it will be - the marketing life-blood of your business.

Most businesses, if they keep lists, just have lists of customers who bought from them, and yet do not even send them as much as a Thank You Note or Christmas Card.

The people on your list will have a more connected relationship with you. You are not just a seller to them, and they are not just a customer to you. Your answer will most likely be of interest with your whole list, so share it with all of them.

The more you can make the people feel privileged to be on your list the better. This works for any marketing niche you happen to be in, not just fish. Positioning is the very best way to 'fish' for prospects in your market. Lure them with the knowledge and service you provide, and soon you have your own stocked pond full of hungry fish that you can catch over and over again.

It pays to know as much about your market as you can. Communicate with your market about the ups and downs, advantages and disadvantages, progress and problems associated with it. Do what they do, read what they read, know their likes and dislikes, search and study resources.

Above all, look for answers and innovations. Then find a way to use them in your marketing and advertising. People will always be interested in new and better things and are drawn to those who have them.

This will not only help in positioning yourself as an expert, but also in finding ways to position your products or service as having unique benefits. You do this by finding unsolved needs and thinking up solutions. Being the first at something also affirms you as an expert par excellence.

If you do these things, you and your business will be positioned. You will have the MARKETING EDGE.

Before writing an article, have you ever felt overwhelmed by a blank sensation, not knowing where to start?

...I'll bet you have!

This checklist should help you eliminate some common problems in writing articles:

1. Have a specific purpose in mind.

Always have a specific purpose in mind before you begin writing: you should be crystal clear about what are you hoping to accomplish by writing your article.
Is it an article clarifying an issue for your customers, to attract prospects, to improve the link popularity for your website?

2. Know your target population.

Before writing an article, conduct research on the target population. What are their experience, their interest, and their wants in the chosen topic? What pain or problem do they try to avoid?

3. Develop a detailed outline first, stressing on the benefits.

Now that you have a purpose and a target, organize your article so that scanning it quickly will show immediately to your reader how he will benefit from it and what are the most important points.

4. Stop your reader in his tracks with your title.

Your title should grab the reader's attention and 'force' him to read your first paragraph. Using your most important benefit usually does it.

5. Start your article with the most important information

Again, do not keep your most important information for the conclusion! Give it immediately and develop on it in the following paragraphs.

6. Keep jargon to a minimum.

If possible, avoid jargon as well as prejudices and insinuations. Write your article so that even a child can understand it.

7. Make your article warm and personal.

Speak direct to the reader. Use a lot of 'you'.
Reading your article, the reader should feel warmth and empathy, knowing that you have the same problems and goals than him.

8. Keep sentences short and simple.

Using short and simple sentences will allow a fluid and easy reading, preventing your reader to get bored.

9. Have someone from the target population critique your article.

Who can give you a better feedback than someone from your target population? It will help you

10. Spend more time rewriting than writing.

Besides formatting your article for easy reading and nice presentation, be sure to use tools or an external editor to carefully proofread your writing for grammatical and spelling errors.


Remember that the more writing you do, the better you will get. After sometimes, when you are in the habit of writing, article writing will not seem as difficult as now!

Imagine yourself enjoying the warm autumn sunlight while listening to Paul's song, “50 Ways to Leave your Lover”. Now, stretch your imagination just a bit and think about how many "Ways" you can come up with for saving and/or making more money in business...

So, let’s look at the problem logically for a minute. Here are four basic ways you can increase your profits:

1. You can charge more for your products or services.
2. You can sell more of your products or services to your existing clients.
3. You can find additional clients.
4. You can find ways to cut back on your business expenses.

So, if you’re on a shoestring budget (and who isn’t these days?), then obviously you need to do everything you can to save as much money as possible, and make as much money as possible, as quickly and easily as possible. Here are 10 simple ideas you can use:

1. Know your target market. Who are your “ideal” customers?
Where do they shop? What do they read? What solutions are they looking for that your business provides? The more you know about your customers, the better you’ll be able to target your promotions towards them, which will increase your bottom line two ways – it will save you spending money on advertising that doesn’t work, and it will increase your sales, because you’re offering your customers what they really want.

2. Get double duty out of any contact with your customers. If you sell products, put your contact information on everything –products, bags, invoices sales receipts. Make it easy for everyone to find you. Give away something free. If you have a Website (and if you don’t, then get one), give your customers something for giving you their contact information. Free Ebooks, reports, or software are all good choices (just make sure it’s relevant to your customers). Anytime you send your customers anything – a product, a newsletter, an invoice –include a coupon or information about your latest products or services. To save money on postage, if you have a brick and mortar store, put a copy of your latest newsletter or an informational flyer in your customer’s bag after each sale.

3. Reward your customers. Set up a reward program. Offer them a reward for anyone they refer who becomes a customer. Or give your customers a free gift when they spend $50 (or whatever amount makes sense in your business). When they’re eligible for the free gift, offer them an upgrade to something bigger or better for a few dollars more. Start a customer loyalty program. Provide “customer only” sales, or promotions. Let your customers earn points, or “magic money” that they can use to redeem your products or services.

4. Get ready for your close-up. When you’re brainstorming about creating a promotion or advertising campaign, don’t forget about your local cable TV channel. You may be pleasantly surprised by how low their rates actually are. Create your own television commercial or infomercial. Although you may not be ready for prime time, you can still target your ad to reach your customers.

5. Get involved in your community. Find a nonprofit organization that is doing work you believe in, and either publicly support their program, or be one of their sponsors for an upcoming event or fundraiser. Use the advertising spot to let people know about the fundraiser (and, incidentally, your business). You could put together an inexpensive ad campaign that will help those in need, increase your visibility and let your potential customers know that you're supportive and aware of the needs of the community.

6. Beef up your business plan. If you don’t have a business plan, make writing one a priority. Your business plan is more than just a way to interest investors. It’s a road map that will help you get from where you are now to where you want to be. That old saying, “If you fail to plan then you’re planning to fail” really is true when it comes to business.

7. Get testimonials from your satisfied clients. But don’t stop there. What about creating your own television commercial that you can run in your store? 8. Speak up. Again, keeping in mind who your ultimate ideal customers are and what their most pressing problems are, write an article, offer a free seminar, or offer to be a speaker at local chamber of commerce or other organization or community meetings. Being perceived as an “expert” is a relatively easy and inexpensive way to get the word out about your business, and bring in more customers.

9. Create joint ventures. Even if your primary business is a brick and mortar one, you can still create a joint venture that will help you save money by sharing the costs for advertising. What about creating a special “sidewalk sale” with other business owners on your street or in your neighborhood? If your business is only online, look for ways you can partner with other businesses – maybe you could create solo ads and promote each other’s products or services in your mailing lists. There are a lot of ways you can save money and increase your client base if you’re willing to get creative.

10. Let your customers know you know what their problems are. It's sad but true that your customers don't care how good your products or services are. They only want to know two things: do you understand what their problems are; and can you solve them. It's a simple yet common question, "How can I make my business more successful?"

Success can mean a lot of different things to a lot of different people but when it comes down to it, the success of your business should only be measured by one thing - profit.

At the end of the day, it's not how many people came in to your store or phoned in. It's not even how many widgets you sold. At the end of the day, what truly matters is how much of a profit you made.

It would make sense then that your efforts focus on profit as the end result. With that in mind, there are only three strategies to increase profits for your business.

1) Increase the dollar size of each order
2) Increase the number of times people buy from you
3) Increase the number of people who buy from you

Most likely, your business is already primed to attack each of these three angles and implementing that attack should be fairly easy.

Let's say that you are the owner of Happy Wicks Candle Store. Let your customers know that for every $50 they spend they will receive a free 4-inch candle. When they are eligible for the free candle, offer them the option of upgrading the 4-inch candle to a 6-inch candle for only four dollars.

Implement a customer loyalty program. Whenever a customer spends $200 with your store they receive a 20% discount on their next order. Show loyalty to your customers, too. Create customer-only events and sales, even workshops on how to make candles at home.

Candles are also popular gifts. Be sure to place your contact info on each and every candle. This makes it easy for the gift recipient to purchase from you. Be sure to also use this tactic when co-promoting with similar businesses such as a flower and bath and body shop.

Looking at the example Happy Wicks Candle Store, the tasks of increasing profits was not a difficult one. Truly, it's a matter of putting systems in place that generate increasing profits.

Take a look at your business and examine the systems you have in place. Chances are there's undiscovered profits lying about. Put systems in place to gather those profits and you'll find your business reaching new heights of success.

Direct marketing's a tough way to make a living but if you can master certain skills it can be extremely lucrative. It takes on many different forms, some of which are easily translatable to the web.

Although the term may bring to mind door to door salesmen pushing their wares to housewives in robes and curlers, it also has roots in print ads such as classifieds and space ads and direct mail.

The internet has created a massive opportunity for the skilled direct marketer to thrive without doing the customary legwork and engaging in personal contact with their prospects, basically expanding on the concept of direct mail.

So what skills do you need to hone in order to succeed at direct marketing?

The top priority of anyone interested in making money on the internet should be their copywriting skills. This is simply putting your sales message into words.

Since the face to face encounter has been eliminated you need to be able to convey your pitch through the words on the pages that your prospects are reading.

A great way to polish your copywriting skills, even if you've never written a single word of ad copy before, is to create a swipe file. This is just a file of already successful ad campaigns.

Swipe files are incredibly useful tools. Every major player in direct marketing keeps a swipe file and for good reason. Everybody gets stuck for words and ideas at some point. When this happens it's good to have an example of past successes to go to and freshen your creative juices and get the words flowing again.

What should your file consist of?

You should gather any material that has spurred you to action, whether its purpose was to get you to buy something or just leave your name and email address. Copy the good stuff and study it. Realize what was in the ad that made you act on the offer.

Look for layout designs (bulleted lists are a big direct marketing tactic), action words, headlines and sub heads. You'll notice certain words popping up along with questions and statements that are all fairly alike but are tailored to specific products and services.

That's the key to a good swipe file. Gather a wide array of different styles and mold the message to your particular target audience. Study the material and write out many different versions of the same ad. Practice your art and perfect it.

A word of caution though. Never copy an ad word for word. That's plagiarism and it's illegal. Use your swipe file as an aid only, to sharpen your copywriting skills and make you better at direct marketing.

Running your own home based internet business is a piece of cake. Right?

You've probably heard how easy it is to rake in tens of thousands of dollars practically over night, and how you can have all kinds of "free time" and extra cash for traveling and shopping at your favorite store...

Just throw up a web site, add a few affiliate links, post to some forums and presto - you're in the money!

But the reality is this. If you want to succeed in your own home based internet business, whether it's affiliate marketing or selling your own products, you will have to work at making it successful. You have to make it your job to succeed. You must treat it as your job, not as your hobby.

It's great to think that with just a few easy strokes you'll be running on auto-pilot, bringing in loads of cash and then on to the next venture. But without some simple planning and consistent effort you're setting yourself up for failure.

Here are a few tips to help you get started.

STAY ORGANIZED

Set up folders in your email client.

You should set up a folder for each contact and keep important correspondence while deleting what you don't need. If you belong to membership sites that require passwords, keep the "welcome" letters where you can find them.

Set up folders on your desktop.

If you download a lot of software, ebooks or PDF books from specific individuals simply name a folder on your desktop after the author or site owner. Then when you download something you can place it in their folder.

Make your own HTML home page.

For quick and easy access to all your important sites make up an HTML page with hyperlinks to your most frequently used sites along with a brief explanation of each site. Keep it on your desktop for easy access.

STAY FOCUSED

Set aside a specific time for work.

It could be from 7pm-9pm every day or whatever time's good for you. During this time do not get distracted from doing only what needs to be accomplished for your business. Try to use the same time slot every day so you get into a routine and get used to the working mindset. Save the surfing for another time.

Set aside a work space.

Make sure that all your friends and family know that when you're in your work area you're off limits! No one's to bother you.

Finish one task before starting another.

As the old saying goes, "Put one foot in front of the other." Don't start working on something new until the first task is completely finished.

BE CONSISTENT

Work the ideas that "work."

When you find something that works well for you work it hard and get as much out of it as possible. If you're submitting articles to a certain site and they're paying dividends, keep feeding the cycle.

Learn from failure.

Don't get discouraged. Each failure's just a learning process. Use any failure to your advantage by taking the lesson and applying it to your next venture.

Test, test, and more test.

Always test headlines and ad copy. A small change can reap huge rewards.

I am reminded of an old joke a friend used to
tell about himself.

My friend had always told me that both he and his
brother were the inventers of copper wire. He
insisted that the two of them were fighting over
a penny one day and managed to stretch it out
into the first strand of copper wire known to
mankind.

Indeed, now is not the time to try to reinvent
copper wire.

business and to tell them what products and
services you are offering.

Unless people know that you are offering a

a must for the success of your business. Sure,
word of mouth can take you places, but it can
only take you so far. Advertising is designed to
pick up where word of mouth leaves off.

ATTRITION IS A DEFINITE FACTOR TO CONSIDER

Attrition is a factor in all businesses. A
business is able to pick up so many customers and
dollars on every advertising or promotion
venture. Yet, a certain portion of your old and
new customers and dollars will drop off over time.

You simply cannot rest on your laurels. You must
continue to generate new business and new dollars
or your business will die.

EZINE PUBLISHING DELIVERS A GOOD EXAMPLE OF
COMMERCIAL ATTRITION

If you have ever published an online ezine, then
you will have seen attrition first hand.

You can spend all week advertising your ezine and
note that your efforts have generated for example
500 new subscribers. Yet, by the end of the week,
your subscriber base has only climbed by 250
subscribers. What went wrong?

Well, this is how it works. Keep in mind this is
only an example to make my point, but if you have
ever published an ezine, then you will know I am
right on the money with this observation.

In one week:

· 500 people sign up for the first time.
· 40 of those people unsubscribe after the very
first issue because they do not like the content.
· 30 people quit after the first issue because
their only purpose in subscribing in the first
place was to get the freebie you had offered to
new subscribers.
· 30 of those people unsubscribe because they do
not remember subscribing to the ezine in the
first place.
· 80 email addresses bounce due to ISP email
filters.
· 20 people bounce because they did not pay their
Internet bill.
· 35 people have simply changed their email
addresses without submitting a change of address
to you.
· 15 people have quit the Internet altogether.

In the final analysis, 100 of your new
subscribers, or 20% of your newcomers are gone
after one week. Another 150 subscribers were
long-time subscribers who are gone for other
reasons.

If you make the mistake of stopping your
advertising, your ezine list will eventually wind
down to one subscriber --- you. In our example,
150 long-time subscribers disappear every week,
and there is nothing you can do to stop it. You
must absolutely keep a fresh flow of new
subscribers coming into the ezine in order
to stay ahead of the attrition curve.

STAYING AHEAD OF THE ATTRITION CURVE

An ezine or a business, what is the difference?
Not much. Your business will suffer the same fate
as the ezine if you do not advertise. I don’t
know how to make it any more clear than this.

Yes, you must be careful not to throw your money
away on advertising that does not generate
results. But you cannot afford to throw the baby
out with the bath water.

Carefully, pick your advertising, study your
results, and put your money back into what is
working for you.

In conclusion, you must decide. Do you want to
advertise your business, or do you want to watch
your business die? The decision is yours and
yours alone. Well, what are you going to do?

When you need an auto mechanic or an air
conditioning repairman, where do you turn for
help? Sure, some people turn to the yellow
pages. But most will turn to friends and family
and ask if they know of anyone who can do the
work.

The best place for your business to be positioned
is to be the business on the tips of the tongues
of the people asked to make the referral.

THE 300 RULE

Preachers, funeral directors and people in a few
other professions have learned "the 300 rule"
through their own personal experience.

"The 300 rule" states that the average person
knows 300 people on a friendly level. Wedding
planners tend to make reservations for 300
guests. Funeral directors tend to need to make
room for 300 mourners. You get the idea.

DOODLING WITH CIRCLES OF INFLUENCE

Imagine your circle of friends, family and
acquaintances, a.k.a. your circle of influence.
Now, draw your circle of influence as a circle on
a blank piece of paper.

Next, contemplate the people in your parents'
circle of influence. Some people who know your
parents also know you. Therefore, you will share
some influence with the people your folks know.
Now draw your parents' circle of influence on your
piece of paper.

Your circle and your parents' circle will
intersect in one area, although the larger
majority of the two circles will not intersect.
If you are like most people, the two circles on
your page at this point looks very similar to the
MasterCard logo.

Now imagine drawing a page full of intersecting
circles, each circle representing the circle of
influence of the people who are within your own
circle of influence. Imagine trying to
encapsulate an accurate rendering of where your
circle and the circle of your friends will
actually intersect.

Some circles will share a large area of space,
while others will barely cover one another.

Actually, you can only imagine at this point what
your piece of paper will look like. The actual
layout of the circles imagined in this analogy is
simply too overwhelming for the mind to
comprehend.

THE BIG PICTURE

300 multiplied by 300 equals 90,000. By using the
analogy of doodles in the previous section, the
average person can actually network with up to
90,000 people! Even factoring in the overlap,
one can still probably network with 50,000 people
through their own circle of influence!

Simply amazing, isn't it?

HERE IS THE SECRET TO YOUR SUCCESS

There are 300 people on this planet whom you have
a reasonable amount of influence. Take advantage
of this fact. Make darn sure that every person
within your own circle of influence KNOWS that
you are in business for yourself, and make sure
they understand what your business offers.

When your friend is asked to make a referral,
they will recommend you.

PASSIVE VERSUS ACTIVE REFERRAL NETWORKING

When people ask your friends for a referral and
your friend mentions your business, that is
passive referral networking.

Active referral networking is when you can get
your friends go directly to their friends and say
"Hey, I have a friend who just started a
business. If you are in need of what he offers or
you know someone who will need his services,
would you please give my friend a call or make
the referral to his business?"

If you can get even a portion of the people in
your own circle of influence to actively refer
your business, then you have built the foundation
to build an advertising campaign even more
effective than the average local television
advertising campaign.

Think about that for a moment.

Most people only dream of reaching 50,000
potential customers with their television
advertising dollars. You now have the knowledge
to reach 50,000 people without spending a single
penny.

Learning how to get the most organization from
your email software is very likely the most
important skill you can learn to conduct a
successful online home business.

There are three primary email applications on the
market that folks use to manage their incoming
POP3 email. Those three are:

· Microsoft Outlook Express
· Eudora
· Netscape Mail

In order to get the most from your email
software, there are three key processes that you
should learn. These processes are concerned with
data organization, saving time and email database
management.

SET UP EMAIL FOLDERS

Organization is key to any emails that you intend
to save. Having 2000 emails in one folder is a
sure-fire road map to confusion and lost
communications and information.

You are the best judge as to how to organize your
email into topics that provide an easy method of
retrieval of the information when you need it
most.

Fortunately, the primary email browsers make it
easy to organize your information. By allowing
you to create folders within your email software,
you can file specific emails into folders
dedicated to the topic of the email.

To create new folders:

OUTLOOK EXPRESS: 1. Click File - Folders - New ---
alternatively, you may also right click an item
in the Folder window --- and then type in the
name of your new folder. Highlight the folder
above where you would like your new folder
to be placed, and then click OK.

EUDORA: Click on Mailbox - New --- or right click
on Eudora in the folders window and then click on
New. When the window opens, type in the name of
your new mailbox and click OK. If you want to
create a folder to place other mailboxes into,
click the checkbox before clicking OK.

NETSCAPE MAIL: Click File - New Folder. Then from
the drop-down menu, select the folder that you
wish to be the folder directly above your new
folder, before clicking OK.

FILTERING EMAIL

Email filters are a tool to help you save time
and frustration. Have you ever lost an incoming
email under the deluge of email coming into your
mailbox? With filters, you can direct the
important email or not-so-important email into
certain pre-ordained folders.

As part of the war against spam, most ISP's use
filters every day in an attempt to keep the spam
out of your mailbox. In fact, I even use filters
to sort my incoming mail trying to catch the spam
my ISP missed.

Don’t be fooled into thinking you need some
special software to filter your email. Setting up
filters is actually quite easy.

To setup email filters:

OUTLOOK EXPRESS: Click on Tools - Message Rules -
Mail. A wizard will open to help you create your
new email filters. Just follow the instructions
provided to direct mail based on certain criteria
into certain folders.

EUDORA: Click on Special - Make Filter. Once
again, just follow the instructions in the Filter
wizard.

NETSCAPE MAIL: Click on Edit - Mail Filters. Then
click on New in the wizard. Once you click on
New, you will be taken to a new wizard window.
Follow the instructions here, then when you are
done, click on OK. This will return you to the
first window where you will set up the sorting
order of your filter.

CLEANING AND COMPRESSING YOUR MAIL DATA

This is an important part of your email
management. When you no longer need an email, it
should be deleted. When you first delete an
email, your software will send the email to the
Trash Bin. Your email is not actually deleted
until you first empty your trash bin.

Emptying your trash bin compresses the mailboxes
from where the email was originally filed. This
is absolutely paramount to the protection of your
email data. If you go too long between
compressing your email data, then your email data
could become corrupted and you might need
assistance in recovering your email data.

Even after you have emptied your trash,
Compressing Folders is a recommended step to
prevent other data corruption. Once you
understand that an email does not actually move
from one folder to another until the folder is
compressed, then you can better appreciate this
advice.

As an example, when Email A comes into your main
Inbox, the data connected to Email A appears in
two files. One file contains the header and body
of the email. The other file contains only the
email header information.

When an email is moved from one folder to the
other, only the header information is actually
moved. The body information will not be deleted
from the original folder until which time the
original folder is compressed.

This explains the purpose of emptying the trash
AND compressing folders. If the email was simply
moved from the Inbox to another folder, then
emptying the trash is not enough. The original
placement of the email is not actually removed
from the file that contains the body information
until the message has been designated for
compression.

To empty your trash:

OUTLOOK EXPRESS: Click on Edit - Empty 'Deleted
Items' Folder. To compress the remaining folders,
click on Tools - Options, then click on the tab
for Maintenance. Then click the button that says,
"Clean Up Now". Once the compression is completed,
click OK.

EUDORA: Click Special - Empty Trash. To compress
the remaining items that need compression, then
click on Special - Compact Mailboxes.

NETSCAPE MAIL: Click on File - Empty Trash
Folder. To compress the mailboxes, click on File
- Compress Folders.

I cannot stress enough how important it is that
you utilize the tools for emptying the trash and
compressing the mail folders. Protecting your
email data on a regular basis is good practice
for avoiding disaster in your mailbox.

So many of us rely upon our email software to
keep our online business running smoothly. Once
you master the tools provided in your email
software, your online business will run smoothly
also.

Let me share one important lesson I l've learned
about computer software. One should never be
afraid to try new things. Learning how to get the
most out of your software relies upon your
willingness to dig in and learn how to use it.

Once you learn how to use your software to its
full potential, then your life will be greatly
simplified and your effectiveness will be
dramatically improved.

profession home. What was your reason for wanting
to own a home business? Was your goal to work

Whatever your reason for going out on your own,
you must keep your reason in the forefront of

have the same respect for your business that you

You should allot a certain portion of your day to

of these communications, you will soon find
yourself on the downward slope of decreased

doing non-productive activities, then you should

provider who will assist you in those

As an example, you might be in the mail-order
business. You might believe that your time is
best spent writing ad copy and setting up your

too much time taking care of your books to take
care of your advertising in the manner that you
should. In this event, it might make more sense
to hire a bookkeeper to handle your financial
records for you.
